Understanding Calendar Events in CUR8

The Schedule section in CUR8 is your central calendar for everything related to your program, from performances and rehearsals to fundraisers and personal conflicts. Every entry on your Schedule is called a calendar event

Calendar events help you keep your season organized, visible, and clear for admins, staff, and participants.

 

Below is the Schedule with Calendar events in blue.

Where is the Schedule?

You can find Schedule under your Manage menu. From there, you can create and manage your Calendar Events.

Three Types of Calendar Events

1. Ticketed Event Dates

  • Ticketed event dates are automatically created when you set up a project with ticketing and assign performance dates.
  • These events appear on your Schedule without any extra work because they are linked directly to your ticketed event project. This makes it easy to see upcoming performances, manage schedules, and plan around events.

2. General Events

A general event is a manually added entry on your calendar for anything not tied to ticket sales. Think of these as your day-to-day planning items.
Examples include:

  • Rehearsals or choreography sessions

  • Set building or tech days

  • Fundraisers or pizza parties

  • Any other group activity you want on the calendar

Improve Communication: The best part? You can assign People to specific calendar events, and we provide them with their own personalized calendar. They will always know where they need to be and when.

3. Personal Conflicts

  • Personal conflicts are calendar entries created by individual participants.*
  • These allow students, volunteers, or cast members to mark times they will be unavailable, such as dentist appointments, travel days, or other commitments. This helps admins plan around conflicts when scheduling rehearsals or events.
  • Admins can also create Personal Conflicts on behalf of participants, but the most efficient approach is to have participants enter their own.

How Calendar Events Work Together

All calendar events, including ticketed, general, and personal, appear in one place under Schedule.
This makes it easy to view everything happening in your organization, identify conflicts, and plan accordingly. You can toggle Schedule Requests on the left, toggle Conflicts on/off, and adjust your global filter and Display By views to control whether projects or organizations are displayed. You can even look at your community's birthdays.

When you create a new calendar event and add people to it, CUR8 can check everyone's schedules, commitments, and personal conflicts right then, so you know who is available at that date/time.

Best Practices for Scheduling

  • Label clearly: Use clear event names like “Full Cast Rehearsal” or “Act 1, Sc 1 Leads Only", or "Choreo for Bows" or "Pitch Practice" or "Scene Shift Rehearsal" or "Lighting Cue-to-Cue" for quick reference.

  • Keep calendars consistent: Add all major dates early so everyone can plan ahead.

  • Assign People to Calendar Events: You can communicate directly with and remind those assigned to calendar events. Running late or need to cancel? It's a quick message within CUR8 to the people who need to know.
  • Encourage participants to log conflicts: This keeps communication open and helps avoid last-minute surprises. Even encourage it at auditions or sign-ups!

  • Color-code or filter when possible: Makes it easier to separate rehearsals, performances, and personal conflicts at a glance.

CUR8 Tip: Use the Schedule view during auditions, production meetings, or rehearsals to make sure everyone’s availability and upcoming events are visible. It is your live, organized snapshot of everything happening in your program.
